Supporting Transport Planner (General Haulage)
Job description
To assist the transport team to deliver an exceptional level of customer service to our customers through efficiently run transport solutions achieved by careful planning and briefing of drivers.
To assist the Operations Manager by ensuring profits are maximised through increasing revenue and reducing costs, wherever and whenever possible.
Role information
- Ensure all jobs are entered accurately into the transport management system to include all job paperwork and relevant driver documents.
- Raise route notifications for abnormal loads and ensure they are attached to the relevant jobs.
- Provide an exceptional level of customer service by ensuring phone calls are answered promptly and emails are responded to quickly.
- Responsible for raising customer quotations that fall inline with the company’s terms and conditions, ensuring that all exclusions and inclusions are clearly understood by the customer.
- Support the Transport Planner to ensure all transport operations are planned in the most cost-effective manner through shared resources by having an operational awareness of the fleet and its associated resources with the aim of increasing revenue and reducing cost.
- Continuously monitor driver progress to ensure jobs are running on time and to plan.
- To report any delays to the transport planners.
- To brief drivers in detail on all jobs providing a comprehensive set of instructions, times, dates, addresses, routes in and out of sites, loading requirements, points of contact onsite.
- To support the link between the transport office and warehouse and storage areas by communicating with relevant teams to ensure they are aware of load plans and trailer availability for loading.
- To provide cover for out of hours phone calls and in times of annual leave.
- Putting the health, safety and environment at the forefront of the team’s day to day proceedings, ensuring the team comply with and strive to exceed health and safety policy’s.
- Ensure drivers have the confidence to speak up or stop the job.
- Assist in processing drivers paperwork to ensure the information is captured accurately and matches the transport management system.
- Provide updates to customers to ensure they are aware of delays and the steps taken to resolve delays with jobs.
- Assist all areas of the transport office to provide support as and when required.
- Escalate any incident that may have a detrimental effect on the operations ability to deliver an excellent customer service.

Qualifications/skills
- Full driving licence.
- Excellent verbal and written communication skills.
- Good IT skills- Microsoft Word, Excel, Power point.
- Excellent organisation skills.
- The ability to work as part of a team as well as on your own initiative.
